JOB OVERVIEW

The HR Officer will support the domestic Human Resources function with various HR tasks to increase the efficiency of the day-to-day running of the department. The role will require a high level of autonomy, confidentiality and organizational skills to ensure that all HR data is accurate and that up-to-date records and policies are accessible. The HR Officer will also be responsible for other HR support functions in payroll, recruitment, induction, training, contracting and other HR activities, directly accountable to the HR Manager.

KEY TASKS & RESPONSIBILITIES

Recruitment:

  • Posting of job ads on internal and external platforms (including digital platforms)
  • Screening job applicants (including CVs and conducting telephonic interviews)
  • Manage and follow applications on the HR software (BambooHR; Symphony from 2019)
  • Ensuring payment of invoices for external advertisements
  • Coordinating interview times and preparing interview packs
  • Communicating with candidates as necessary
  • Conducting reference checks under the supervision of the HR Manager
  • Drafting offer letters, contracts of employment

Induction:

  • Preparing induction packs and schedules
  • Ensure that all staff receive access to HR policies and procedures, in collaboration with the Knowledge Management team.
  • Liaising with office management on access tags, computer, email addresses etc. for new staff
  • Ensuring the completion of employee information for all new staff in the HRIS and staff files
  • Coordinating the induction schedule of new staff (draft schedule and share with department heads)

HR Information System (HRIS):

  • Troubleshooting the HR software (BambooHR)
  • Providing assistance to staff who need access to personnel information
  • Prepare data mapping of HR records in the current HRIS (BambooHR)
  • Data cleansing and data migration preparation for the new software (Symphony)
  • In liaison with the Symphony super user and focal point at MSF SA, prepare policies and tools ahead of the planned migration in 2019
  • Ensuring that staff information is updated in the current and new HR software
  • Implement the Symphony communication plan proposed by the HR Manager for MSF SA, in sync with the rest of the HR department

Training and development

  • Ensuring accurate record-keeping of all training activities within MSF SA
  • Researching external training providers and courses
  • Compiling a database of training providers
  • Support the organization of internal and external trainings
  • Ensure that a frame for qualitative feedback is provided to employees attending training
  • Supporting the HR Manager with the compilation of annual training reports
  • Follow up on any development activities that need to be implemented

General HR and contractual follow-up:

  • Preparation of payroll (Processing salary advances, preparing payroll instructions on a monthly basis, loading salaries on SAGE VIP software)
  • Accountable for employment and consulting contracts, job descriptions
  • Liaising with third party providers on staff benefits (medical aid, retirement annuity, etc.)
  • Liaising with statutory bodies (SRA, UIF etc.)
  • Assisting with data analysis on HR metrics and preparing reports
  • Implement ad-hoc updates and changes to staff information
  • Ad-hoc research for HR projects
  • Updating the HR noticeboard
  • Updating the MSF SA organogram
  • Ensuring that updated HR policies are available to all staff

REQUIREMENTS

Experience

  • Bachelor’s Degree in Human Resources or related field
  • 2 years’ experience in Human Resources
  • Experience in recruitment (screening applicants)
  • Experience in payroll preparation
  • Experience working with HR software

Knowledge and Skills

  • Experience in working on SAGE VIP (desirable)
  • Proficient in MS Word, Excel, PowerPoint and Outlook
  • Digital recruitment platforms (desirable)
  • Ability to organize documents and files as per knowledge management techniques
  • Knowledge of South African Labour Legislation

POSITION DETAILS:

  • Contract type: 12 months renewable (with potential to become permanent)
  • Location: Johannesburg
  • Salary package: Basic salary R17 000+ (experience taken into account); medical aid contribution; additional 10% retirement allowance
